The Windows Agent That Powers TheDeskMonitor
DeskAgent is a lightweight Windows background service — typically under 50 MB of disk — that runs silently on each monitored employee's Windows machine. It starts automatically at login, requires no daily interaction from employees, and sends productivity signals to the TheDeskMonitor workspace in real time.
It is the data collection layer of the platform: it observes which applications are active, captures window titles, counts keystroke and mouse activity, and optionally takes periodic screenshots. All of this is configurable by the workspace administrator from the central dashboard.
DeskAgent is included free with every TheDeskMonitor plan — there is no separate agent licence fee. The subscription covers the workspace, reporting, and management layers.

What DeskAgent Tracks — and What It Does Not
Understanding exactly what is and is not collected is fundamental to running a transparent monitoring policy.
What DeskAgent captures
- Application name — the name of the foreground app (e.g. "Google Chrome", "Microsoft Word", "ChatGPT")
- Window title — the title bar text of the active window
- Active time — duration the application was in the foreground
- Keystroke count — number of keystrokes (not which keys)
- Mouse-click count — number of mouse clicks
- Screenshots — optional periodic captures (configurable by admin; Smart Blur blurs sensitive areas)
- Productivity category — each app auto-classified as Productive / Neutral / Unproductive by admin rules
What DeskAgent does NOT capture
- The content of AI conversations (ChatGPT prompts, Copilot responses, etc.)
- Actual keystrokes typed (count only — not which keys)
- Browser history or URLs visited within a browser (window title only)
- Email content or chat message content
- Any audio or microphone input
- Any activity during Privacy Mode (employee-activated pause)
- Blurred screen regions when Smart Blur is active

Privacy Controls Built Into Every Installation
TheDeskMonitor is designed for transparent, ethical monitoring. Employees are aware of what is tracked, and have meaningful controls.
Privacy Mode
Employees can activate Privacy Mode directly from the system tray to temporarily pause activity tracking. During Privacy Mode, no app activity or screenshots are recorded. Managers can configure whether Privacy Mode is available and for how long.

When screenshot monitoring is enabled, Smart Blur automatically detects and blurs sensitive screen regions before screenshots are stored or displayed to managers. Employees never need to take manual steps to protect personal information on screen.

DeskAgent includes a built-in auto-update service. When TheDeskMonitor publishes a new agent version, the update downloads silently in the background and applies itself without any user action or IT involvement.
Administrators can flag a release as mandatory — the agent will force-install the update immediately, which is useful for critical security patches. Employees never see an update prompt or need to click anything.
