How Does Screenshot Monitoring Work?

A desktop agent captures periodic screenshots during active work sessions. Here's exactly how it works — and how privacy is protected.

Step-by-Step: How Screenshot Monitoring Works

  1. Desktop agent installs — A lightweight background agent (DeskAgent) is installed on the employee's Windows or Android device. This takes under 2 minutes.
  2. Session detection — The agent detects when the employee's work session is active (logged in, screen active, input detected).
  3. Periodic capture — At your configured frequency (every 5, 10, or 15 minutes), the agent captures a screenshot of the current screen.
  4. Smart Blur applied — If Smart Blur is enabled, sensitive content (personal data, passwords, payment info) is automatically redacted before the image is stored.
  5. Encrypted upload — Screenshots are encrypted in transit and at rest, then stored in your account's secure cloud storage.
  6. Manager review — Managers access screenshots via the TheDeskMonitor dashboard, filterable by employee, date, and time range.

How Many Screenshots Should Monitoring Take?

The right frequency depends on your team's work type and your management goals:

  • Every 5 minutes — high oversight; suitable for customer service, data entry, or compliance-sensitive roles
  • Every 10 minutes — balanced; most knowledge worker teams
  • Every 15 minutes — light oversight; suitable for autonomous professional roles

TheDeskMonitor lets you configure frequency per team or per role — so engineering teams and support teams can have different settings.

Privacy Protections in TheDeskMonitor

  • Smart Blur — auto-redacts sensitive content before storage; employees never feel exposed
  • Privacy Mode — employees can pause monitoring during personal breaks (with manager visibility that a pause occurred)
  • Employees can view their own screenshots — full transparency, zero hidden tracking
  • Configurable retention — screenshots are automatically deleted after your set period (7–90 days)
